How to adapt the Popwork 1:1 meeting template to your team

The Popwork 1:1 meeting is a great basis for meaningful and efficient 1:1 conversations. We recommend that you start with the Popwork template and the 5 standard questions of the 1:1 meeting.

Nevertheless managers can customize the questions of the 1:1 meeting for their teams. To do so, managers can:

  • Adapt the Popwork 1:1 meeting template

  • Add and/or delete questions

  • Create different rituals

Adapting the Popwork questions ⚙️

If you feel the Popwork template is the right one for your team but simply want to rephrase the way questions are asked to make them more personal or suited to your team, this is now possible.

To do so, go into the Team settings section (in the left menu) and click on Questions for the team you want to edit. You can now click on any question - except the mood and workload questions - to edit the way the question is asked.

Customize a Popwork check-in question

Make your changes, save them, check what the resulting 1:1 meeting looks like and you’re done. The next 1:1 meetings for your team will be your own custom version.

Adding and deleting questions 🙋

It’s possible to go further into the customization of 1:1 meetings for your team and to choose to add and delete questions. The only questions that cannot be removed are the mood and workload questions. This is because we believe no check-in or 1:1 conversation can be successful without these.

Add a custom question in your team members' check-in

To add questions to your 1:1 meeting template, simply go to the Team settings section (in the left menu) and click on Questions. To write a new question, click on the “Add question” button and write your question.

In the Advanced options, you have the possibility to add placeholder text if you want the answer text field to be prepopulated with content. This is useful to help your team members answer in a structured way for example.

Furthermore, you have the new option to add questions which will be asked “once a month”. This question will only be asked in the first week of the month. This is an easy way to put in place a monthly variation to your 1:1 meetings. Note that if the 1:1 of the first week of the month is missed, this monthly question will be asked again in the following 1:1 until it is answered.

Finally, if you wish to delete a question, simply click on the question and then on the Delete button.

Adding a one-off custom question

As a manager, you can ask a one-off custom question to your team members.

When you add a one-off question, it will appear as an extra question in their next 1:1 meeting and you will see their answers in their answer feeds, exactly as for recurring questions.

This custom question can be set up in the Team settings section (in the left menu). To do this, click on the ‘⚙️’ icon at the bottom left corner, then Team settings > Questions > + Add question.

Creating different rituals for your teams 🗿

Let’s say your team is made of 4 marketing managers and 3 product designers, you may want to have a specific 1:1 template for marketing managers and another one for product designers: this is possible on Popwork.

First, you will need to create a team for your marketing managers and a team for your product designers. To do so, simply go to the Team settings section (in the left menu), click on 'Create team', name the team, select yourself as manager of the team and add the team members.

Then, you will be able to customize the 1:1 template of each team in your parameters. As a result, you will have a specific 1:1 meeting for each of your teams.
